Lesson 4: Creating Your First Action
Video: Watch the Add Staff section (approximately 4:30 to 8:00).
Overview
Now that your school has been created, it’s time to add your staff.
Every member of staff who needs to receive actions or complete tasks in Riabo must have an account. You can either add staff one at a time or import your entire staff list using a CSV file.
For most schools, importing your staff is the quickest and easiest option.
Option 1: Add Staff Individually
If you’re only adding a few people, you can create each account manually.
For each member of staff, enter:
- First name
- Surname
- Email address
- Role
Once you’ve entered their details, save the new user and repeat the process for the remaining staff.
Option 2: Import Your Staff
If you’re setting up your whole school, we recommend using the CSV importer.
Download the CSV template and complete it with your staff details.
The template includes:
- First name
- Surname
- Email address
- Role
When your spreadsheet is complete, upload it to Riabo.
Riabo will check the information and let you review the import before creating any accounts. This gives you the opportunity to correct any errors before continuing.
Sharing Login Details
Once your staff have been added, Riabo provides several ways to distribute their login information.
You can:
- Print individual login slips
- Download login credentials as a CSV file
- Share login details with staff
Each member of staff receives a temporary password, which they can change after signing in for the first time.
Good Practice
Before creating your first actions, make sure your entire staff list has been added. This makes assigning actions much quicker and helps ensure nobody is missed.
If you’re not sure whether someone will need access, it’s usually easier to add them now than to return later.
Before You Continue
Before moving to the next lesson, make sure you have:
- Added all relevant staff members
- Checked that names and email addresses are correct
- Distributed login details, or saved them for later
In the next lesson, you’ll create your first action and assign it to members of staff.
Top Tip
Don’t forget to include administrative staff, SNAs and members of the leadership team if they’ll be completing actions in Riabo. The more complete your staff list is, the easier it becomes to assign and manage tasks throughout the school year.
