Lesson 5: Using Templates

Overview

Actions are at the heart of Riabo.

An action is any task you want one or more members of staff to complete. It could be a one-off request, such as uploading a timetable, or a recurring task that takes place every month or every year.

Rather than creating every action from scratch, Riabo includes a growing Template Library with ready-made actions for common school tasks.

Creating an Action

Select Create Action from the onboarding checklist.

If this is your first action, you’ll be asked to choose a template.

You can either:

  • Create your own template from scratch
  • Choose one from the Template Library

For most schools, the Template Library is the quickest way to get started.

Using the Template Library

Browse or search the Template Library to find an action that suits your needs.

For example, you might choose a template asking staff to upload their class timetables.

Once you’ve selected a template, Riabo automatically fills in the title and instructions, which you can edit if you wish.

Configure the Action

Before publishing your action, choose:

  • The start date
  • The due date
  • How staff will complete the action

Depending on the task, staff may be asked to:

  • Confirm they have completed it
  • Submit a link
  • Upload a file

If your school collects uploaded files, you’ll first need to connect your Google Drive in Settings.

Require Approval

Some actions may need approval before they are marked as complete.

For example:

  • Class timetables
  • Planning documents
  • Policies
  • Risk assessments

Simply enable Requires Approval when creating the action.

Once a member of staff submits their work, an administrator can review and approve it.

Assign the Action

Choose the members of staff who should complete the action.

You can assign it to:

  • Individual staff members
  • Multiple staff members
  • Groups (which you’ll create in the next lesson)

When everything looks correct, click Create Action.

Your action is immediately assigned, and staff will see it on their dashboard the next time they sign in.

Good Practice

Start with just a few actions rather than trying to recreate your entire school calendar in one afternoon.

Many schools begin with:

  • Upload class timetables
  • Complete Child Protection checklist
  • Confirm RSE, Walk Tall and Stay Safe have been taught

Once staff become familiar with Riabo, you can gradually add more recurring actions throughout the year.

  • Created your first action
  • Selected an appropriate template
  • Set the dates
  • Assigned it to the relevant staff members

Don’t worry if you can’t find the perfect template. The Template Library is continually growing, and every template can be edited to suit the needs of your school.
