Lesson 7: Configuring Settings

Overview
Riabo works straight out of the box, but spending a few minutes reviewing your settings will help you tailor it to the way your school operates.
In this lesson, you’ll learn about the most important settings, including reminders, terminology, recognition, Google Drive integration and subscriptions.
General Settings
Under Settings, you’ll find your school’s basic information.
Here you can update:
- School name
- Roll number
- County
- Working days
These settings can be changed at any time if your school’s details change.
Terminology
Every organisation is different, so Riabo lets you customise the terminology used throughout the platform.
For schools, the default terms are:
- Owner – Principal
- Admin – Leadership Team
- Member – Staff
- Groups – Staff Groups
If your school prefers different terminology, you can update these labels to better match your own way of working.
Recognition
Riabo includes an optional recognition system that rewards staff for completing their actions.
Staff can build completion streaks and unlock achievements for consistently completing tasks on time.
The aim is simply to encourage good habits and celebrate progress.
If you don’t wish to use this feature, you can switch it off at any time.
Automatic Reminders
One of Riabo’s most powerful features is its automatic reminder system.
Instead of manually following up with staff, Riabo can remind them when an action becomes overdue.
You can choose:
- When the first reminder is sent
- How often reminders are repeated
- When an overdue action is escalated
- When leadership should be notified
- When the principal should receive an escalation
Once configured, Riabo handles the follow-up automatically, helping ensure that important tasks aren’t forgotten.
Google Drive Integration
If your actions require staff to upload files, you’ll need to connect your school’s Google Drive.
Once connected, uploaded files are stored in your chosen Google Drive location, making it easy to organise and access submitted documents.
If you only collect confirmations or web links, you don’t need to connect Google Drive.
Subscription
Your subscription details can be found under Settings → Subscription.
If you’ve purchased an activation code, or if your school receives Riabo through a Policy Plus subscription, simply enter your activation code here to activate your account.
Monitoring Progress
As your staff begin completing actions, Riabo provides useful insights into your school’s progress.
You’ll be able to view:
- Completion rates
- Outstanding actions
- Actions awaiting approval
- Staff achievements
- Organisation reports
- Outstanding work reports
These reports are designed to give school leaders a quick overview of progress without the need for manual tracking.
Good Practice
Spend a few minutes configuring your reminders before assigning lots of actions. Once they’re set up, Riabo will take care of routine follow-up automatically, allowing you to focus on supporting staff rather than chasing deadlines.
