Lesson 6: Managing Groups

Overview

As your school begins using Riabo, you’ll quickly find that the same actions are often assigned to the same people.

Rather than selecting individual staff members every time, you can create Groups. Groups allow you to assign an action to an entire team with a single click, saving time and reducing the chance of someone being missed.

Why Use Groups?

Groups are particularly useful for recurring tasks that only apply to certain members of staff.

For example, you might create groups for:

  • Classroom Teachers
  • Special Education Teachers (SET)
  • SNAs
  • Leadership Team
  • Administrative Staff
  • Infant Teachers
  • Senior Teachers

Once created, these groups can be reused whenever you create a new action.

Creating a Group

To create a new group:

  1. Open the Groups section.
  2. Click Create Group.
  3. Enter a name for the group.
  4. Add an optional description if you wish.
  5. Select the staff members who belong in the group.
  6. Click Create Group.

Your new group is now ready to use.

Using Groups

The next time you create an action, you’ll be able to assign it directly to a group instead of selecting each member of staff individually.

For example, if you’re assigning an annual RSE confirmation, simply choose your Classroom Teachers group rather than selecting every classroom teacher one by one.

This not only speeds up the process but also helps ensure that no one is accidentally left out.

Reviewing Your Groups

As staff join or leave your school, remember to review your groups occasionally to make sure they remain up to date.

Keeping your groups accurate will make assigning actions much easier throughout the year.

Good Practice

Think about how your school naturally works when creating groups. You don’t need dozens of them. Start with the teams you assign work to most often and add more only if they save you time.

Many schools find that just a handful of well-organised groups are enough to manage the majority of recurring actions.

Before You Continue

  • Created at least one group
  • Added the appropriate staff members
  • Used a clear and meaningful group name

If you’re unsure where to start, create a Classroom Teachers group first. It’s the group most schools use most frequently and will save you time almost immediately.
